WhatsApp bot and AI automation in Goa
Cloudworks builds WhatsApp bots in Goa: an automated assistant on your business WhatsApp number that answers customer questions, takes bookings and follows up. We also build AI assistants and workflow automations that do the same job over the phone or behind the scenes.
What we build
We build three things that answer customers, book and follow up for you, from simplest to most capable:
- WhatsApp bots. An assistant on your business WhatsApp number. It answers the questions you get every day, such as opening hours, location and what is on offer, and it collects the details for a booking or an enquiry.
- AI assistants. Assistants that understand ordinary language, by message or by voice, instead of only fixed menu options. Our AI receptionist, described below, is one.
- Workflow automation. The plumbing behind the conversation. It puts a booking into a calendar, a row into a sheet and a reminder in front of the right person, so nobody types the same thing twice.
This page is about conversations and automation. If you need an app that customers or staff open and use, see our app development page. If you need billing, stock or admin software, see our custom software page. A bot often sits in front of one of those, and we plan the two together.
Bot, AI assistant or plain automation?
Pick the simplest one that does the job, because the simplest is cheaper and breaks less.
- A rules bot follows a script. It suits a small set of predictable questions, where the right answer is the same every time.
- An AI assistant copes with messages that do not fit a script, such as a caller who asks for “a table for four, maybe Friday evening”. It costs more to build and needs more care, so use it when people really do talk in free-form ways.
- Plain automation needs no conversation at all. If every enquiry already arrives through a form, you may only need the form to feed a calendar and a sheet.
On the first call we ask what your customers actually send you and recommend the lightest option that works. If a link to your WhatsApp is all you need, we will say so.
What a bot should and should not do
A bot is good at routine work: the same ten questions, a booking, a reminder. It is not good at a complaint, a negotiation or a customer who is upset. A well-built bot knows where its job ends and passes the conversation to a person. Plan for that from the start, and decide who picks up and how quickly.
Proof: what we can show today
- The AI receptionist is a working voice receptionist that we built ourselves. It talks to the caller, checks whether a slot is free, books it, and refuses double bookings. It logs each booking to Google Sheets and Google Calendar. We built it with ElevenLabs Conversational AI and Make. It is our own working build, not a client deployment, and it answers the phone rather than WhatsApp. The job is the one a WhatsApp booking bot has to do too: check availability, book, refuse a clash and keep a record.
- Steam Shines is the website of a steam cleaning company in Toronto and nearby cities in Canada. Customers can start a booking on WhatsApp in one tap. That is a link that opens a chat, not a bot, and we want to be exact about the difference. It shows how we connect a site to WhatsApp, and that we work with clients online.
Neither of these is a client WhatsApp bot, and we would rather say so than imply it.
How a project runs
We follow the same four steps as for every project.
- Brief. A short call about your customers, the questions they ask and what should happen after each one.
- Interactive design. A working preview of the conversation, so you read and try it before it goes live.
- Build. We build and connect it to your calendar, sheet or other tools, and you test it in a live preview.
- Launch. We put it live, hand over full ownership and stay available for changes.
How long it takes
Most websites go live in about two weeks. Automation work ships in stages like other software, and we agree the timeline with you upfront, not after. A bot that answers a handful of questions is a smaller job than an assistant that books across a calendar, and we say which one yours is on the first call.
What it costs
We do not publish a price for bots, AI assistants or automation. After a short call we give a fixed quote for our work.
What moves the cost most:
- How many jobs the bot does. Answering questions is one job; booking, reminders and follow-ups are more.
- Whether it needs AI. Understanding free-form messages or voice is more work than following a script.
- Systems it connects to. A calendar, a sheet or your billing software each need connecting and testing.
- How closely we need to test it. A bot that handles bookings must never double book, and that takes careful testing.
WhatsApp Business API message charges are set by Meta, not by us, and we do not quote Meta’s prices. Check Meta’s current pricing before you decide.
Who this is for in Goa
Restaurants and cafes that take table bookings, hotels that field the same enquiries every day, and shops and brands whose customers already message them on WhatsApp. A direct line you own matters especially if you depend on aggregators, as we explain in do you still need a website if you are on Zomato and Swiggy. A bot works best next to a site that makes it easy to start the chat, which is where our website design comes in.
We serve Margao, Panaji, Mapusa, Vasco and the rest of Goa, and we work with clients online. Cloudworks is a studio of seven plus interns, founded in 2024 and based in Goa. We take on a handful of projects at a time, so each one gets full attention, and we reply to every enquiry within a day.
Questions people ask
How much does a WhatsApp chatbot cost?
We do not publish a price, because a bot can be a simple question-answerer or an AI assistant connected to your calendar and sheets. What moves the cost is how many jobs the bot does, whether it needs AI, and how many systems it connects to. Meta sets WhatsApp Business API message charges, not us. We give a fixed quote after a short call.
How does a WhatsApp chatbot work?
A customer messages your business WhatsApp number, and the bot reads the message and replies. It can answer common questions, ask for a date or a name, check whether a slot is free, record a booking in a calendar or sheet, and send a follow-up. When a question is beyond it, a good bot hands the chat to you.
Is the WhatsApp Business API free?
Do not assume it is. Meta, which owns WhatsApp, sets the charges for messages sent through the WhatsApp Business API and publishes its own pricing, so check Meta's current rates before you budget. We do not quote Meta's prices. What we quote is our own work, building and connecting the bot, as a fixed price after a short call.
What does an AI receptionist do?
An AI receptionist answers the phone and handles routine calls so you do not have to. Ours talks to the caller, checks whether a slot is free, books it, refuses double bookings, and logs each booking to Google Sheets and Google Calendar. We built it with ElevenLabs Conversational AI and Make. It is our own working build, not a client deployment.
Is there any bot for WhatsApp?
Yes. A WhatsApp bot can answer common questions, take enquiries and bookings, and send follow-ups on your business number, and Cloudworks builds them for businesses in Goa. The working build we can show today is our AI receptionist, which books by phone. Steam Shines' one-tap WhatsApp booking is a link to a chat, not a bot.
